How to choose the best car rental software

There is no best rental software in absolute terms: there is the right one for your country, your branches and your volumes. These are the criteria we use with rental companies, and they hold even if you end up choosing another product.

9 criteria you can check 4 tests to run in a demo When NoloForWeb is not for you

The criteria

Nine questions before you sign

Each one can be checked in a demo or in writing: if the answer is vague, that is already an answer.

Covers the whole cycle

Quote, booking, contract, return and invoice in the same program. Every step done elsewhere is data retyped by hand and a possible mistake.

Your country's obligations

In Italy CaRGOS, SdI e-invoicing and rentals over 30 days; in Spain SES.HOSPEDAJES and the DGT. Ask whether they start from the contract and what happens when the public service does not answer.

Several branches, clear permissions

Each branch sees its own work and management sees everything, with vehicle transfers and role permissions on record.

Online booking on your domain

The portal should read rates and availability from the rental system, not from a second price list to keep aligned. Better still if customers upload documents before pick-up.

Rates that follow the season

Price lists by period, group, zone and channel, stop sales and approval before publishing: price is where you win or lose.

Your data stays yours

Ask where it is hosted, whether it is kept apart from other customers' data and how you export it the day you decide to switch.

A price you can forecast

Flat fee, per vehicle or per contract: work out 12 months with your real volumes, high and low season included, and ask what is excluded.

Migration from your current system

Customers, drivers, vehicles and open contracts should come over from today's system with a preview and explained rejects, not be retyped.

Useful AI, your decisions

Document reading, damage photo comparison, assistants connected through MCP or an API: check what it really does and whether every change asks for your confirmation.

In the demo

Four tests worth more than a brochure

01

Use a real case

Bring a real rental from last week, with extras and a deposit, and count the steps it takes.

02

Go all the way to the invoice

Close the contract with mileage, fuel and damage and check that the invoice is created on its own, and correct.

03

Try a mistake

Leave a driver field empty: good software flags it before the report goes to the authority, not after.

04

Ask for the 12-month cost

With your contracts and your vehicles, in writing and with everything that is excluded.

Honestly

When NoloForWeb is not the right choice

NoloForWeb is built for rental companies with one or more branches in Italy, Spain and Malta that want the whole cycle in web software. A guide that always recommends the same product is useless: here is when to look elsewhere.

You want it on your own servers

NoloForWeb is cloud only: it cannot be installed on your servers.

You need a broker already connected

The Broker API is there, but no broker comes connected out of the box: each connection is switched on and tested with the broker during onboarding.

You close few contracts

The minimum is €1 per vehicle, never less than €30 a month: below 30 contracts you still pay €30.

Frequent questions

What is the best car rental software?

The one that covers your country's obligations, handles all your branches and has a predictable cost at your volumes. For companies with one or more branches in Italy, Spain or Malta, NoloForWeb covers the cycle from quote to invoice, with CaRGOS, SES.HOSPEDAJES and the DGT starting from the contract.

How much does car rental software cost?

The most common models are a monthly fee, a price per vehicle and a price per contract. NoloForWeb costs €1 per closed contract, with a monthly minimum of €1 per vehicle between €30 and €100, unlimited branches, vehicles and users; onboarding, training and data migration are quoted separately.

Does rental software need to send CaRGOS reports?

In Italy, anyone renting vehicles without a driver must report contract and driver details to the State Police through CaRGOS. If the software does not do it from the contract, someone at the counter retypes the data on another portal.

Cloud or installed software?

Cloud software spares you servers and updates and works from every branch in a browser. Always ask where the data is, whether it is kept apart from other customers' data and how to export it.

How long does it take to switch?

It depends on how much data you bring and how many integrations you switch on. With NoloForWeb, customers, drivers, vehicles and open contracts are imported with a preview and reasoned rejects, and setup follows a guided path.

Test us against these criteria

In the demo we use one of your real rentals: from quote to invoice, with your country's report.
